Add a Backend User Using a Pre-Existing Backend Group

You can create Backend users or modify existing Backend users quickly by assigning them to an exisiting Backend user group. Adding a Backend group to a user adds all the settings for that group to the Backend user's settings. Since there are many Backend-user options that can be configured, it is usually best to maintain those sets of options in Backend groups. To create a new Backend user in a pre-defined WEC "Content Editors" Backend group follow the steps below.

  1. Click "User Admin" at the lower left.
  2. Scroll down to the bottom of the page.
  3. Click on the "Add" icon which looks like a piece of paper with a plus sign on it.
  4. On the Backend user form, enter a Backend username and password.
  5. Under "Group" click on "Content Editors" in the "Items" list at the right and it will appear in the "Selected" list at the left. This gives the Backend user the Backend settings from this group. "Content Editors" is a predefined (by WEC) Backend user group that has many common settings for a typical content editor. You can also create more groups or modify this group to adjust those settings. But for this example, this group will not be modified.
  6. Please ensure the the "Admin" checkbox is NOT checked because the "Admin" checkbox overrides the other fields, such as groups, and gives the user full administrative access.
  7. Scroll down and enter the Backend user's full name and e-mail address.
  8. Scroll down to "Modules." Here you could select the "Modules" that would show up as menu items at the left when the user logs in. However, these can also be defined in the Backend User group and the "Content Editors" group already has these defined.
  9. Scroll down to "Workspace permissions" and uncheck "Edit Draft (offline)" since this option is not needed for a user who is editing the website directly. 
  10. Scroll down and click the "Save and Exit" icon.
  11. In the "Backend User Administration" page scroll down to see the new user in the list. Notice that the administrator icon is a person in a green shirt. The new user can now login and use the Backend.
  12. If needed, you can click on the pencil icon next to a specific user to edit that Backend user.
  13. Clicking on the white "SU" icon is equal to logging out of the Backend and logging back in with the new user's username and password. Clicking on the white "SU" icon is equal to logging out of the Backend and logging back in with the new user's username and password. Clicking on the red "SU" icon is the same as clicking on the white "SU" icon except while you are logged in as the user, the "Logout" button is replaced by an "Exit" button. Clicking on the "Exit" button returns you to the administrative login. This is a fast way to switch back and forth as you test a new Backend user's new account. Click on the red "SU" icon next to new user.
  14. The new Backend interface for this user is now displayed. Notice that this Backend user sees fewer options at the left. You can click on a few options to see what options are available. When you are done, click on the "Exit" button at the lower left to return to the administrator account.
